One of the unique services we provide to our clients is the ability to create a report completely customized to fit your specific needs. We have a department dedicated to fulfilling custom reporting requests. Your data requirement is our challenge. We’ll set up a consultation with one of our trained developers to come up with a solution that works best for you.

Standard Reports

In additional to our customized reporting feature EMS Toolkit also provides you with many of the standard reports related to the EMS industry such as: Out of Chute, Response Times, On-Scene Times, Cancel Percentages by Town or by Unit.

Acronym Keeper

The Emergency Medical Services Industry is ever changing and so are the acronyms used.  This feature allows you to add your agency specific acronyms along with a standard set of industry approved acronyms.  Employees new to your agency can get up to speed quicker if they speak the language.

Auto Logger

EMS Toolkit's Auto Logger Feature allows your dispatch and communication staff to easily create End Of Shift Reports with detailed information of what occurred throughout the shift. Just some of the items included are Employee Call Outs, Employee late arrivals and Early Departures, Vehicle/Equipment Problems, To Do lists for the following crews and much more!  This system automatically pulls all the information from other areas of the EMS Toolkit Intranet system freeing up time and reducing the chance for data entry errors.

Corporate Directory

Maintaining a corporate directory is no longer a chore with the EMS Toolkit Corporate Directory feature. Integrated in with the Employee Management system this feature manages itself. Print, email or reference the numbers on the screen; it's broken down by departments and fully searchable making finding numbers or the extensions you need is quick and painless.

Crew SMS Manager

Crew SMS Manager is a feature that allows management or your communications staff to easily send SMS messages to any active crew members/units.  This is useful for instances where your typical SMS or "Paging" program is unavailable.

Divert System

The EMS Toolkit Divert feature allows you to stay up-to-date with the most current divert/bypass information available, all while not using a license of any other programs.  This feature includes facility name, time of last update and expected time of divert expiration.

E-Box Management

This tool allows you to quickly and easily communicate any message from your company to any number of employees via thier dashboard E-Box System.  You can add a subject, a message, and choose which employees this message goes to.

Employee Check Sheets

The EMS Toolkit Employee Check Sheet system is your answer for all of those "daily check sheets".  How do your employees do their daily ambulance check sheets? With EMS Toolkit their Rig Check Sheets can be done from any tablet computer with an Internet or WiFi connection.  Build your own questions and categories.  This flexible system can accommodate even the most complicated scenarios.

Employee Manuals

The EMS Toolkit Employee Manual System allows you to add your own P&P (Policy and Procedure) manual, SOP Manual, or any other manual to the EMS Toolkit system. By doing this, you can keep versions of past and current manuals and search your postings by keywords. This system also logs all instances an article is viewed, and who it was viewed by to assist you in ensuring your employees are reading the manuals.

Events Calendar

The EMS Toolkit events calendar will allow you to easily and quickly publish events to your staff.  This a great way to send out information to everyone without bogging down your mail server and having emails bounced back.

Incident Reports

The EMS Toolkit Incident Report feature allows your staff to quickly alert management of an issue.  With many data collection fields, accompanied by a narrative area the Incident Report feature keeps everyone in the loop. This feature is equipped with an auto-email feature much like the rest of the suite of EMS Toolkit features.

The Internal Job Postings feature allows you to quickly and easily post open positions to your existing staff.  Promoting from within your agency will raise company moral along with adding opportunities for your employees to grow their careers.  This feature allows employees to apply for any internal job with just a few clicks.

Memos

The EMS Toolkit Memo System provides your management staff the ability to post unlimited memo's to your agency. In addition to posting content, this memo system can include: the author’s name, date of posting, subject of the memo, pertinent links and documents related to the memo; as well as tracking who reads what memo – allowing your management staff to verify if your employees are reading the memos.

News and Announcements

The News and Announcement feature will easily allow you to keep your staff informed on new contracts, media or press attention, etc. This feature allows for uploading of documents and/or external links.

Poll / Surveys

The EMS Toolkit Poll and Survey feature allows you to instantly poll your staff and acquire their input.  You provide the question, you provide the answers along with start and end dates for the poll and if comments are allowed and that's it. Your employees responses are captured and easily calculated into graphical form for ease of reading.

Safe Link

Safe Link allows your agency to publish external links to your EMT's, Paramedic's, Nurse's or any other staff you may have.  This system will open ANY third party link within the safety of the EMS Toolkit Intranet. This gives you the perfect "shell" to wrap all of your agencies other mission critical links within.

Send Mass Email

Need to send an email to everyone in the company? Use the EMS Toolkit Mass Email Employees feature.  This feature allows for all your standard email fields such as TO, CC, BCC, FROM, SUBJECT, IMPORTANCE, MESSAGE and ATTACHEMENTS.

Call Volume Dashboard

The Call Volume Dashboard allows your EMS Agency to see in real time the companies calls broken down into completed calls, cancelled calls, call types, average time on task, average transportation time and so much more.

Custom EMS Dashboards

The EMS Toolkit Custom EMS Dashboard service allows your agency to really display the most important information possible.  You will work directly with developers to create your custom dashboards with your data.  Our dashboards are state-of-the-art and refresh automatically and scroll vertically ensuring all data is presented.

Custom dashboards are not included with the EMS Toolkit system however are more budget friendly than you could ever expect!

The Public File Locker allows your agency not to be held back by email server file size limits.  Going around email servers for large files is the way to go and with the Public File Locker your EMS agency can easily publish files to other agencies quickly and easily. 

Certification Tracking

Having personnel working with expired certifications can be a costly liability. The EMS Toolkit Certification Tracking feature allows you to track not only any certification your agency might come across, including: driver's license, CPR, ACLS, PALS and many others but the system also tracks continued education classes that your employees take over the year. Online Education and Training

The online Education and Training feature within EMS Toolkit will allow you to deliver quizzes and tests to your staff quickly and easily.  You create the tests, you create the answers, you set the passing score (if applicable), it's just that simple.  Unlimited tests and unlimited answers within each test.  Each test will be tracked and every questions will be logged how long it took to complete.

Accountability

The Accountability feature allows management staff to see detailed information regarding employees.  Just some of the information available includes employee log-ins, pages employees have viewed, policies, memos, standard operating procedures read by each employee and much more.

Assignment Tracker

The EMS Toolkit Assignment Tracker is the answer to all those spreadsheets that only a single person can access at a time.  Does your agency track employee numbers such as Door/Facility Access codes, Gas Card Codes or any other information linked directly to a single employee? This feature allows you to create job description templates, then assign those templates to each employee. This process shortens the amount of time needed to meet the criteria set forth by CAAS all while keeping one centralized job description database.

Organization Chart

The Organization Chart allows your agency to post its management hierarchy online.  Another requirement set for by CAAS is that you keep an organization chart up to date and this system gives you that ability.  Graphically layout your organization using this feature.

Quality Assurance

The EMS Toolkit Quality Assurance feature tracks nearly everything your management team will want to analyze from intubation averages by individual employee or by the entire agency, if there were any violations to standing orders, physiology aspects, anatomy information and mechanism of injury information.  Quality assurance can be done by department or service line for instance ALS, BLS. Open Shift Pick-Up

The Open Shift Pick-Up feature allows you to publish out open shifts to your staff.  Notifying your staff for open shifts will cut down on overtime payout and employee shortages for your trucks. This system will ensure employees meet the minimum criteria for a shift. For instance, an EMT will not be allowed to pick up a Paramedic shift. Additionally, when coupled with EMS Toolkit's Certification Tracker employees with expired certifications will not be allowed to fill the shifts.

Over-Run System

The Over-Run feature allows staff to enter in the circumstances of their over-runs.  This is helpful for many reasons as you can track to see if the over run could have been avoided by better scheduling, therefore eliminating over-time or determine if the over run was because of a crew performing their tasks slower or possibly if a hospital or facility was the cause of the delay.  In any case, the over run feature allows your management staff the ability to analyze the over run and determine if it is valid or not.

Self Help Shift Coverage

The Self Help Shift Coverage feature allows your employees to attempt to find coverage for their shift. This system does not require management intervention until a willing replacement has been found. By allowing your staff to help themselves it not opens up time of your management team so they can concentrate on more important tasks but also will decrease the amount of "No Call-No Shows" and EMS personnel call-outs.

Self Help Shift Switch

The Self Help Shift Switch feature, like the Self Help Shift Coverage feature, allows your staff to find a fellow staff member to "Switch" shifts with.  This feature leaves management out of the process until the very end for final approvals. By allowing your staff to help themselves it not opens up time of your management team so they can concentrate on more important tasks but also will decrease the amount of "No Call-No Shows" and EMS personnel call-outs.

Time Off Request

The Time Off Request feature built into EMS Toolkit allows your staff EMT's, Paramedics, Nurses or any other staff you may have submit their time off requests. Time off requests placed by your employees will be queued for final approval by one of your management staff.

Virtual Time Clock

The Virtual Time Clock gives your agency a cost effective way of allowing your staff members to "punch" in/out of work.  Using Secure IP technologies we can ensure your employees are only allowed to clock in from pre-authorized terminals.  This feature does not require any additional hardware other than a computer with an internet connection, mouse and keyboard.

Client Satisfaction Survey
